How to compose an effective
broadcast email message
for the purpose of marketing properties In an effort
to encourage our OK/CCIM Chapter members to use our
broadcast email directory for posting email messages
to market properties; or request a property to meet
your clients objectives, you will find below some
tips for composing an effective broadcast email
message:
1. The
SUBJECT, or Title of your email message is critical
to convincing people to open and read your message.
Many of our OK/CCIM Chapter members receive a good
deal of email on a daily basis. Accordingly your
email SUBJECT needs to be designed to "hit the hot
button" of your recipients (and peak their interest)
in order to convince them to open your email message
FIRST before clicking on the "Delete" option.
Our Oklahoma CCIM Chapter includes members
statewide: Accordingly, your email "Subject" should
always indicate the CITY where the property is
located FIRST. For example:
Tulsa, OK, Office-Whse FOR LEASE"
"OKC, OK. Commercial Property FOR LEASE"
Norman OK, LAND FOR SALE
Edmond OK, Office Bldg. FOR SALE
NEED: OK. Multifamily Land
Please do not send a OK/CCIM Broadcast email message
with an "attached file" !
You should post your property data and exhibits on
the Internet first, followed by your broadcast email
message, with a link to your additional property
information. Please read on...
Rather than "attaching" a flyer to your email
message (perhaps in a "Word" file) which some of
your recipients may not be able to open, you should
first post your property information on the Internet
(where people can always find the information) in a
property inventory database like CCIMNet (for CCIMs
only) or LoopNet. Many people use both systems to
generate more exposure.
Keep in mind some of your recipients might not have
Microsoft "Word" loaded in their PC, or know how to
open a downloaded file, (which is not always easy to
do in AOL or CompuServe for example) so they may
never be able to read your "attached" flyer.
After your property data has been posted on the
Internet (in CCIMNet and LoopNet for example), you
should write a short promotional email message, then
to enhance your email message, do a "search" for
your property and copy the web address (Edit copy)
in your browser, and paste it (Edit paste) into the
body of your email message. This way people can
click on the link in your broadcast email message
for your additional information. You have also not
annoyed most of the recipients (by dominating their
PC's with the annoying "download time" required to
receive your "attached" file on-line).
3. You should always try and remember to add your
CCIM designation after your name in the "FROM"
field. (You can set this up to happen automatically
in your email client program (i.e. Eudora) or your
browser under Edit, "Preferences").
4. You should also set up an automatic "signature"
(with your complete contact information) in your
email program.
Browser Tips
Browser Tips for Surfing the Net Sometimes problems
are caused as you "Surf the Net" because your
"browser" (Internet Explorer or Netscape) is trying
to run commands using the cached "old" version of
the OK/CCIM front page (or any front page of a web
site). The solution is to press the "Reload" or
"Refresh" button on your browser or to clear your
cache (it's a good idea to do that now and again
anyway). Here are the basic steps to "Clear your
cache" using either the Internet Explorer browser or
Netscape.
With IE3: Click View, Options, and then click on the
"Advanced TAB", choose, Settings in the Temporary
Internet Files" section (in the middle of the dialog
box), then click on the "Empty Folder" button.
With IE4: View, Internet Options, in the center box
labeled Temporary Internet Files click Delete Files.
With Netscape: Edit, Preferences, Advanced, Cache,
Press both the Clear Memory Cache and Clear Disk
Cache buffers.
Broadcast Email Services
There are a number of Broadcast Email Services, also
called Mailing Lists, or Listservs, of interest to
OKCCIM Members.
CCIM operates one,

The CCIM broadcast e-mail service is available for
use by CCIM members only. Click on CCIM Entrance,
log-in, go into your membership maintenance section
and select the "Broadcast Email" option to subscribe
and unsubscribe from the mailing lists.
